web•X•intelligence processes material on behalf of the software platform that submits it. This page explains what that means for the information involved.

The short version. If your dealership uses software that runs on web•X•intelligence, your software provider decides what gets sent and how long it is kept. web•X•intelligence processes the item, returns the result to that provider, and does not use the material for anything else.

Our role

web•X•intelligence acts as a processor. A platform sends an item for a stated purpose, web•X•intelligence performs that processing, and the result goes back to the platform that asked. The platform remains responsible for the relationship with the business or consumer whose information is involved, including notice and consent.

If you are an individual and you want to know what a dealership holds about you, or you want it corrected or deleted, start with the dealership or the software they use. They can locate the record and reach us on your behalf if the request touches something we hold.

What we receive

What arrives depends entirely on what the submitting platform sends. It commonly includes:

  • Images and scans of documents such as licenses, insurance cards, registrations, titles, and signed forms
  • Photographs of vehicles, plates, and odometers
  • Audio from phone calls and voicemail
  • Contact records submitted for address, phone, or email validation
  • Technical details attached to the request, such as the account reference, the job type, and timestamps

We do not choose what is sent and we do not gather information on our own. There is no tracking pixel, no advertising identifier, and no third party analytics on this website.

What we do with it

Submitted material is used to perform the requested processing and to return the result. It is also used, in aggregate and without identifying content, to monitor whether the service is working correctly and to investigate faults.

Submitted material is not sold. It is not rented, licensed, traded, or packaged into a data product. It is not shared with other accounts. It is not used to build a profile of any individual.

How long we keep it

Source files are retained for the window the submitting platform configures, then removed. Job records, which carry the reference, the job type, timestamps, and the fields returned, are kept longer so that a dealership can be given a clear answer about what was processed and when. Where the law requires a longer hold, we follow the law.

Who can reach it

Access is limited to the account that submitted the job and to the small number of people who operate the service. Operator access is used for support and fault investigation, it is logged, and it is removed when the person no longer needs it.

We disclose material outside of this only when we are legally required to, and we tell the submitting platform when we are permitted to tell them.

Service providers

Running this service requires infrastructure such as hosting, storage, and specialized processing components. Those providers act under contract, are limited to what the service requires, and are not permitted to use the material for their own purposes. We select and change these components as the service evolves, which is why the arrangement is described here by function rather than by vendor name.

Security

Connections are encrypted with TLS. Stored material is encrypted at rest. Jobs are separated by account, credentials are scoped to the account that owns them, and administrative access is restricted and logged. No system is beyond risk, and we do not claim otherwise. If we learn of a breach affecting submitted material, we notify the submitting platform without undue delay so they can meet their own obligations.

Where processing happens

Processing takes place on infrastructure located in the United States.

Children

The service is sold to businesses and is not directed to children. We do not knowingly seek information about anyone under thirteen.

This website

Visiting webxintelligence.com is separate from the processing service. The site uses no advertising cookies and no cross site tracking. Standard server logs record the request, and they are kept for a short period for security and troubleshooting. If you email the address on this site, we keep the message so that we can reply to it.
